POSITION:                PART-TIME HUMAN RESOURCES ASSISTANT
(Opening Date: April 2, 2014)

DEPARTMENT:       HUMAN RESOURCES

REPORTS TO:          DIRECTOR OF HUMAN RESOURCES

POSITION SUMMARY:
The Urban Affairs Coalition (UAC) is currently looking for a part-time Human Resources Assistant (25-30 hours per week).  The individual selected for this position will be responsible for supporting the Human Resources Department in all aspects of human resources activities. This includes: recruitment, new hire orientations/terminations, ADP HR/Benefits, Time & Attendance system, employee events/meetings, and benefits administration. 

PRIMARY RESPONSIBILITIES:
Provide human resources/administrative support to the HR Department in the following areas;
§  Assist with the new hire/benefits orientations and prepare packets;
§  Enter new hire/termination data into ADP system in an accurate and timely manner;
§  Prepare and email “thank you” letters to prospective job applicants;
§  Prepare and maintain personnel/benefits files, assuring compliance and confidentiality;
§  Facilitate/lead in organizing employee special events;
§  Process ADP/miscellaneous invoices in the Microix system;
§  Schedule HR meetings, trainings, and employment interviews as requested;
§  Post jobs on the internal website;
§  Run ad-hoc reports in ADP as needed;
§  Prepare birthday and anniversary cards for distribution on a monthly basis;
  • Assist with audits (403(b), etc.) and ensure files are properly maintained and in compliance;
  • Perform daily filing of materials for employee personnel and benefit files;
§  Perform other job related duties as assigned.

ADDITIONAL RESPONSIBILITIES:
§  Assist with company-wide special events and fundraisers such as: UAC’s annual breakfast meeting, Thanksgiving Day baskets, etc. when needed.

KNOWLEDGE AND SKILLS:
  • Must be able to handle payroll and HR issues/concerns in a discreet and confidential manner;
  • Must be willing and have the ability to learn ADP HR and Time & Attendance system;



  • Must have excellent oral and written communication skills, be detailed-oriented and creative;
  • Must be able to interact with all levels of employees in a professional manner;
·         Must be proficient in Word, Excel, and PowerPoint. Publisher experience a plus;
·         Must be able to type, proofread letters, and input data in the computer system with a high level of accuracy;
  • Must have an outgoing personality, be flexible, and can work independently and in a team environment.

EDUCATION AND QUALIFICATIONS:
  • A Bachelor’s Degree in Human Resources or Business Management preferred;
  • A minimum of 1-2 years experience in Human Resources preferred;
  • Experience in database management.
