Group Sales Assistant
Description: The Barnes Foundation is seeking a Group Sales
Assistant to support
all administrative and customer service aspects of the group sales process
including scheduling group visit requests received via phone and email, updating
group schedules, coordinating docent and gallery guide availability, processing
payments, and coordinating group visit requirements with Visitor Services to
appropriately staff the group visits.
Established
as an educational institution the Barnes Foundation carries out its mission by
promoting appreciation of the arts and horticultural science, through the
preservation, presentation, and interpretation of the collections of Albert C.
and Laura L. Barnes.
Celebrated
for its exceptional breadth, depth, and quality, the Barnes Foundation's art
collection includes works by some of the greatest European and American masters
of impressionism, post-impressionist, and early modern art, as well as African
sculpture, Pennsylvania German decorative arts, Native American textiles,
metalwork, and more. The 12-acre Arboretum contains over 3,000 species of woody
plants and trees.

Responsibilities:
- Provides superior customer service via phone and email in the process of scheduling, facilitating and assisting group visitors to the Barnes Foundation.
- Reserves and confirms group visits to the Barnes Foundation including providing accurate information about visitation rules and procedures, billing, confirmations, scheduling, directions, and all relevant details of a group visitation.
- Maintains accurate records of group reservations in various tracking documents including Siriusware, Outlook, and Excel.
- Provides accurate information regarding types of group and individual visits, membership, public programs, and education at the Barnes Foundation.
- Facilitates all confirmation correspondence, including payment reminders. Accurately tracks and accepts deposit and final group payments.
- Accurately applies all financial and ticketing procedures to facilitate deposits, reconciliations, financial reporting, and ticketing information in Siriusware.
- Works collaboratively with the Volunteer Management, Visitor Services Floor Supervisors, and Events to schedule docents, facility space, and appropriately schedule groups.
- Coordinates internal preparations for group visits including printing tickets, preparing audio guides, scheduling facilities and audio visual for group presentations, and coordinating with Visitor Services Assistants and Floor Supervisors.
- Works collaboratively with Visitor Services management team to appropriately staff for daily group visits and to support the needs of Group Sales.
- Greets group and individual guests, facilitating an efficient and pleasant experience entering the Collection, including the distribution of iPod audio tours and providing usage instructions.

Supports
Group Sales Manager in broader group sales and tourism promotional activities
as required, including providing administrative support including, but not
limited to filings, maintaining office supplies, collating and processing
mailings, printing, and copying.

Demonstrates
knowledge of the Barnes Foundation and a desire to actively engage with the
institution and the collection.

Performs
other duties as requested.
Requirements:
·
Bachelor’s
degree preferred.
·
Customer
service and sales experience required; group Sales and/or event experience in a
cultural attraction, museum, or Philadelphia area venue highly preferred.

Strong
communication skills, demonstrated by an ability to write professional
efficient communications for individuals and/or groups. Clear, concise, and pleasing speaking
manner. Excellent listening and
comprehension.

Outgoing
personality with excellent interpersonal skills. Ability to provide pleasant,
professional, customer focused service to a diverse constituency desirous of
extensive personal attention.

Highly
organized, with meticulous attention to detail.
Ability to understand and retain a significant amount of detailed
information and appropriately apply it to a variety of customer interactions.

Demonstrated
ability to handle multiple responsibilities, maintain focus in a distracting
work environment, and prioritize responsibilities.

Excellent
computer skills required; including proficiency in Microsoft Office (word,
excel, outlook); use of database (Siriusware) and/or online ticketing
preferred.

Basic
math skills and experience with cash handling procedures.
·
Willingness
to work a flexible schedule including weekends, evenings, and holidays
·
Art
background/interest a plus.
