Role Summary
This position is responsible for reporting activities central to the
case management system operations. The Data Specialist works with
subcontractors, and internal staff increase usage and productivity. The Data
Specialist is responsible for development of custom reports and forms within
case management software. The Data Specialist is responsible for maintaining a
strong relationship with all programs and providers, ensuring that all incoming
information is accurate and received in a timely fashion; overseeing all data
entry into all Workforce Data Systems and assurance of accuracy. This position is responsible for training
program and provider users of the data systems and assisting the Manager,
Information Services, ensuring that the needs of program and provider users are
met.
This position will be responsible for the following duties:
- Provide 1st tier user support and coordinate technical troubleshooting; escalates to software vendor when needed. Documents helpdesk contacts, issues, solutions, and best practices.
- Provide support for the expansion of the case management system into new program areas and/or the coordination with other internal systems to improve data integrity.
- Prepare documentation for publication in an online knowledge base for users.
- Analyze user needs, program functions and steps required to apply technology to develop or modify standard operating procedures and computer applications.
- Provide assistance with the preparation or reports and presentations for management and partnering agencies.
- Support trainers in developing and writing the training programs. Provide input to content i.e. text and handouts.
- Analyze the state data system and case management software information and reports and evaluate for accuracy. Provide analysis and trends to Operations and subcontractor staff.
- Ensure that a filing system of all incoming documentation is maintained in shared environment to allow for easy retrieval. Respond to program and data unit requests for submitted documentation in a timely manner.
- Assist Manager to ensure all programmatic data requirements are met in the data systems. This includes data elements to be captured and reporting data to meet program, provider and data analysis needs.
- Review and communicate weekly reports to contractor staff. Ensure necessary action has been taken on all cases. Assist contractors in identifying and resolving reconciliation discrepancies in all systems.
- Perform other job related duties as assigned.
Education/Professional Experience
Bachelor’s or Associates’ degree from an
accredited college or university in Business, Computer Science, Information
Management, or another quantitative field with at least 4 years’ experience.
Or, any
combination of education and experience determined to be acceptable.
Additional
Eligibility Qualifications

Considerable
knowledge of case management software (ETO, Client Track, etc.)

Knowledge
of data entry and quality assurance practices
·
Understanding
of relational databases and queries
·
Excellent
verbal, written, analytical and interpersonal communication skills
·
Excellent
oral and written communication and technical skills
·
Must be
organized and detailed oriented
·
Must be
able to meet deadlines
·
Must be
able to work effectively with all staff, contracted providers and management
·
Proficient
in use of Microsoft Word and Excel
·
Knowledge
of the state data system, CWDS, a plus
