Primary Responsibilities:

The LLM Coordinator provides primary customer service (via email and telephone) to a domestic and foreign applicant pool.  Organizes, coordinates, and processes the daily workflow of the LLM Credential Assembly Service, to include candidate file creation and monitoring; preprocessing and handling of documents and scanning activities for an image processing system; mailing of LLM law school reports; and effective communication with AACRAO staff - a third party contractor providing transcript evaluation for this service.  The LLM Credential Assembly Service works closely with and assists members of the Law School Support Services Group in their efforts to assure quality support to the LLM offices at the law schools.  Interacts with identified experts within LSAC who are available to answer questions and to provide additional law school and candidate support in various areas on an as needed basis.                                                                                                                                                         

Qualifications:

Associate’s degree required; Bachelor’s degree strongly preferred.  Understanding of graduate admission process and/or experience handling educational credentials preferred.  Familiarity with foreign educational systems as well as a second language a plus.   Must develop and maintain a strong working knowledge of all LSAC LLM Credential Assembly Service policies and procedures.  Customer service experience necessary.  Must be available for occasional overtime work during peak processing periods.  Excellent interpersonal, written, and telephone skills required, including the ability to be tactful and maintain confidentiality.  Must have the ability to work independently and demonstrate initiative to resolve problems.  Must have good organizational skills and the ability to work well under pressure and with conflicting priorities.  Must have PC skills including data entry, word processing, and email.  Spreadsheet skills a plus.  Develops and maintains an understanding of the processes and policies related to all facets of the LLM Credential Assembly Service.  Responds to candidate inquiries and ensures that accurate, helpful, and timely responses are provided to all inquiries and requests for service.

Primary Responsibilities:

Provides support to the Test Administration Group for various LSAT and MPRE test administration related tasks. Primary responsibilities include maintaining the LSAT TCM database, responding to MPRE and LSAT test center complaints, processing test center agreement forms, recruiting new LSAT test centers and assisting LSAT test supervisors in various ways to facilitate the administrations of the LSAT and MPRE. May also support research projects involving electronic test delivery.

Overtime, especially surrounding each test administration is required.


Qualifications:  Associates or higher degree or equivalent experience; Experience in an office environment; Excellent writing skills, organizational skills, customer service skills and attention to detail required; High level of proficiency with WORD and basic knowledge of EXCEL spreadsheet and PowerPoint software and an ability to work with various LSAC applications (training to be provided); Must be able to work under pressure, meet deadlines, and excel in a team environment. Familiarity with standardized testing procedures; is desirable. Minimal travel; as needed.

Membership Coordinator

Description: The Barnes Foundation is seeking a Membership Coordinator to support Membership in acquiring, renewing, upgrading and stewarding members at all levels. The Membership Coordinator is responsible for the project management of membership communications and solicitations, and under the supervision of the Membership Manager works to develop membership programs and other stewardship opportunities.

Established as an educational institution the Barnes Foundation carries out its mission by promoting appreciation of the arts and horticultural science, through the preservation, presentation, and interpretation of the collections of Albert C. and Laura L. Barnes.

Celebrated for its exceptional breadth, depth, and quality, the Barnes Foundation’s art collection includes works by some of the greatest European and American masters of impressionism, post-impressionist, and early modern art, as well as African sculpture, Pennsylvania German decorative arts, Native American textiles, metalwork, and more. The 12-acre Arboretum contains over 3,000 species of woody plants and trees.

Responsibilities:

o   Coordinates member communications
§  Works closely with the Membership Manager to develop content, schedule and report on membership e-communications including monthly renewal e-mail series, e-newsletter, promotional offers and surveys.
§  Works closely with Communications to create, revise and deliver social media content.
§  Serves as membership representative on the Social Media Committee.
§  Develops content for printed marketing materials for general membership, renewal mailings, promotions and acquisition, as well as coordinates the creation and/or updating of materials.
§  Monitors fulfillment information via print and web to ensure it is appropriate, accurate and timely.

o   Project Manage membership solicitation mailings
§  Pulls lists for monthly renewal and upgrade e-mails and mail solicitations.
§  Works directly with mail house to ensure renewal and upgrade mailings are accurate and on time.
§  Coordinates administrative duties related to vendors including quote requests, approval process and inventory maintenance.
§  Monitors the messages in renewal and upgrade appeal on a regular basis to ensure that they are compelling and timely.

o   Coordinates membership programs and events
§  Works closely with Membership Manager and Circles Program Manager to create membership programs and events that serve the interests of the membership base.
§  Works with Membership Manager to effectively communicate the opportunity and value of events and programs for current members as well as upgrade and acquisition opportunities.
§  Works with Visitor Services supervisors to ensure frontline staff is informed of membership programs and events
§  Coordinates administrative duties including contract approvals, check requests, event orders, space booking and ticketing system item request forms.
§  Provides day of support at member events.
§  Provides support for External Affairs events as needed.

·         Sales and Service
o   Sales
§  Monitors the success of all outlets and assists Membership Manager in developing and implementing on-site, direct mail and electronic membership acquisition and upgrade strategies.
§  Works with Visitor Services and Shop staff to oversee the success of onsite sales by motivating and incentivizing their sale force to acquire, renew and upgrade members.

o   Service
§  Works with Visitor Services staff to assure the highest quality experience at all points of contact for members.
§  Works with Visitor Service staff to provide general membership and Foundation information by phone, e-mail or mail.
§  Renews, upgrades and acquires new members by phone.
§  Responds or facilitates responses to all member complaints and records complaint correspondence in member records.

·         Performance Tracking
o   Assists Membership Manager with departmental reporting
§  Under the guidance of the Membership Manager, maintains a structure of reporting that informs the Membership team as well as Senior and Executive level staff on the status of the membership program on a weekly, monthly and annual basis.
§  Tracks and administers payables against the Membership expense budget, providing detailed and regular reports on the status.
§  Works closely with the Communications staff to track e-mail communications and website usage to determine the most effective messages and timing for various constituents. 
§  Tracks expenses for Membership ensuring that payments are submitted on time and provides reports to senior staff in the department on the status of expenses.

o   Works with Business Systems Coordinator and Development Services to ensure the accurate transfer of membership information from external systems into  Raiser’s Edge and vice versa.

·         Performs other duties as assigned.

Skills and Knowledge:

·         Bachelor of Arts required in one of the following areas: communications, business, art, art history or marketing
·         3 years working in membership, development or marketing, preferably in an arts organization
·         Excellent verbal and written communication skills with experience in writing promotional and informational materials
·         Excellent customer service skills, including the ability and desire to both solve problems for members, make new sales or encourage upgrades
·         Proficiency with Microsoft Word and Excel required and knowledge of Raiser’s Edge and Siriusware or comparable point of sale system preferred
