Job Posting - Game Program Coordinator

JCC Maccabi Games Program Coordinator

The Katz JCC is hosting the 2014 JCC Maccabi Games (international youth Olympics) and seeks a Games Program Coordinator who will be the primary administrative / event coordinator working to assist with the year-long effort to plan this exciting unique special event for our community.  
This person, under the supervision of the JCC Maccabi Games Director is primarily responsible for the smooth operation of the Maccabi Games administration office and all its functions to ensure the Games are implemented in a very high professional manner.   The person in this position must be very organized, detail oriented, enthusiastic, personable and able to multi task to ensure the job is done right.
He / She should be comfortable with computer skills and programs (word, excel, power point) able to maintain high degrees of organization of all records and administrative details necessary to implement this major program. The JCC Maccabi Games Coordinator works primarily Mondaythrough Friday, but will include occasional evenings and weekends as needed, especially as we get closer to the actual project dates.
Specific responsibilities include, but are not limited to:

  1. Manage the organization of the JCC Maccabi Games office including procurement of facilities and venues, registration of athletes and coaches, host families, volunteers, VIPs and visiting spectators.
  2. Organize records so that they can be updated, maintained and retrieved in a quick and efficient manner.
  3. Follow up directly with individuals (visiting delegations, volunteers, etc.) in order to collect and organize all information required for the program.
  4. Assist the Games Director as liaison with JCC staff, committees, visiting delegations, participating athletes, community volunteers and visiting spectators.
  5. Manage mailings (both incoming and outgoing), create meeting notices, confirm meeting dates with staff and lay committee members, take minutes of meetings when assigned by the Games Director.
  6. Make outreach calls to assist in recruiting host families, volunteers, community outreach and the ongoing promotion of the Games
  7. In preparation for the actual week of the games, help coordinate ongoing training sessions for numerous volunteers and committees assigned to specific jobs during the week of the Games
  8. Responsible for “hands on” staffing of the Maccabi Games Office (along with volunteers) during the actual week of the Games to help ensure all administrative and logistical tasks run smoothly.


*** The JCC Maccabi Games Program Coordinator must display the ability to work with a wide variety of staff and volunteers, juggle multiple tasks and assignments and remain calm while working under pressure to ultimately assist the Games Director and staff are able to run a smooth and organized set of Games.

Qualifications:

·         Two or more years of administrative experience
·         Maccabi Games experience a plus
  • Excellent interpersonal, written and communication skills
  • Flexible, detail oriented, organized, able to manage multiple fast-paced projects simultaneously
·         Proficient in computer (word, excel, publisher, data bases)  and other computer office applications
·         College Degree preferred
